In the digital age, it is becoming increasingly difficult for the bosses of medium-sized companies to keep confidential files under lock and key without making themselves dependent on the IT specialists in the company. A digital boss safe can help.

The boss safe that was common in the old days is of no use today because the documents are all digital and therefore cannot simply be locked away. Many bosses, especially in medium-sized companies, find it very difficult to blindly trust the IT administrator, a trainee or an external service company who can view all data on the company server without limitation. TeamDrive solves this dilemma with a digital safe just for the boss, who works completely independently of the IT department in the company.

Installation on the boss laptop

You need your own boss laptop. A highly secure data room is installed on this, which really only the owner of the computer can access. The files stored in it are automatically encrypted and transferred to a German high-security cloud. The boss can not only access his vault data from the office computer, but also at home or on the go, even via a tablet or smartphone.

The brief instructions: Download from www.teamdrive.com/download (no credit card required), click on "Install" and wait a minute. Shortly thereafter, a new folder called “TeamDrive” will appear; all files that are dragged in there are only seen by the boss, not the IT department. Automatic backup to the cloud prevents data loss. The laptop should be provided with an unguessable password to protect it from unauthorized access.

Security level of professional secrecy

Thanks to high-security technology, the confidential data in the digital boss vault is not only protected from internal eyes, but also from external attackers. TeamDrive meets the security requirements for persons subject to professional secrecy such as lawyers, judges, doctors, tax consultants and auditors, which is considered the highest security level in Germany. "With TeamDrive, the digital documents are safer than in any company IT because no IT administrator can get close, not even ours," assures Managing Director Detlef Schmuck.

Neither authorities nor hackers can access the data

The high level of security results from seamless end-to-end encryption in combination with a zero-knowledge architecture. In plain English: All data is encrypted both on the laptop and in the data safe, and only the boss has the key to it. The company TeamDrive does not keep any spare or master keys (“zero knowledge” means that TeamDrive itself cannot access customer data). Even under a court order, TeamDrive could not grant authorities access to the boss vault. "We can't give out a key that we don't have," Detlef Schmuck clarifies. Protection against hacker attacks is equally guaranteed: "A key that does not exist cannot be stolen by cybercriminals either," says TeamDrive Managing Director Detlef Schmuck.

The data synchronization between the boss's laptop and the data safe takes place automatically. Even if the laptop is stolen, attacked by hackers or becomes inoperable, the confidential documents remain safely stored in the vault. The two-factor access protection contributes to further security. With every attempt to open the digital safe, the boss receives a message on his smartphone: The confidential data room will only be opened if the boss's phone gives his express consent.

All legal requirements met

Also important: TeamDrive meets all legal requirements applicable in Germany according to the GDPR (General Data Protection Regulation) and GoBD (Principles for the proper management and storage of books, records and documents in electronic form). This means that both confidential personal data, for example on payroll accounting, and trade secrets such as calculations or contracts can be stored in the safe in a legally compliant manner. The fact that TeamDrive is completely in German hands, despite the anglicised company name, and that all customer data remains in the legal area of ​​the Federal Republic of Germany contributes to security.

Confidential data exchange

If necessary, the boss can share the data safe or parts of it with people he trusts, such as a lawyer, tax consultant, auditor or management consultant. For this purpose, they have access to selected files stored in the vault, whereby the boss can determine who can only read them and who can also change them. In any case, all accesses are logged without gaps, so that it is possible to trace exactly who “touched” which files and when.

If the relationship of trust is terminated, the boss can revoke all access rights from his laptop at any time. "All of these processes can be controlled with just a few clicks without having to call on the help of other people from the company," explains TeamDrive boss Detlef Schmuck. He adds: "At 70 euros per year, the costs for the highly secure digital boss safe are affordable even for small and medium-sized companies."
